Privacy Policy

FieldVisit is field merchandising software for independent merchandisers, brands, agencies and brokers. This policy explains what we collect, why, and how it is protected.

1. Who we are

FieldVisit (“we”) provides a workspace where merchandising teams record store visits and generate visit reports. FieldVisit is an independent product and is not affiliated with, sponsored by, or endorsed by any retailer or brand named by users inside the product.

2. Information we collect

  • Account data: your email address, password credentials handled by our authentication provider, and the full name you enter in your profile.
  • Workspace data: company/workspace name, organization type, approximate stores serviced per week, member roles, and team invitations you create.
  • Field data you enter: store records, store assignments and service cadence, visit notes, shelf and inventory observations, contact names you choose to record, and generated visit reports.
  • Photos: before/after merchandising images you upload with a visit.
  • Early access lead form: name, email, company, role, and any notes you submit on our public site.
  • Basic technical data: standard server and security logs produced when you use the service.

The public product demo runs on static sample data. Nothing you type into the demo is saved to a customer workspace.

3. How we use information

We use your information to operate your workspace, authenticate you, keep tenant data separated, generate visit reports, respond to early-access enquiries, and improve reliability and security of the service. We do not sell your personal information, and we do not share your workspace data with other customers.

4. Workspace ownership and access

Data you create inside a workspace is accessible to active members of that workspace, according to their role (owner, admin, manager, field rep, or read-only client). Access rules are enforced on our servers, not only in the interface. Members of one workspace cannot read or change another workspace’s data.

5. Photos and store imagery

Visit photos are stored in a private storage bucket. They are never published to a public URL; they are displayed only through short-lived signed links generated for signed-in members of the owning workspace. You are responsible for having permission from the retailer or property owner before photographing and uploading in-store imagery, and for avoiding images that contain shoppers, employees, or other personal information.

6. Service providers

We rely on infrastructure providers for hosting, database, authentication and file storage. They process data on our behalf under their own security commitments. During early access we do not use paid third-party AI services; report generation runs on deterministic rules inside the product.

7. Retention

Workspace data is retained while your workspace is active. You may ask us to delete your account or workspace data by contacting us; we will action reasonable requests and remove data from active systems, with backups aging out on their normal schedule. Early access lead submissions are kept until we no longer need them for the pilot programme.

8. Security

We use encrypted connections, managed authentication, per-workspace access rules, and private storage. No service can promise perfect security, and we do not claim any formal certification (for example SOC 2 or ISO 27001) at this stage of the product. Keep your password private and invite only people who should see your workspace data.

9. Your choices

You can edit your profile, change or remove team members if you are an owner or admin, leave a workspace, or request export or deletion of your data. Where local law gives you rights over your personal data, contact us and we will respond.
